Following the news that we’ve released an update of Iron Mountain’s InSight® Digital Experience Platform (DXP), I’m excited to share what the latest InSight DXP release means for solving your toughest digital data challenges, directly from conversations with customers like you.

I know that many of our 240,000+ customers worldwide see Iron Mountain through the lens of our deep heritage in physical records management. While this understanding of the information lifecycle remains a core strength, our focus and expertise have evolved significantly alongside your needs. Today’s challenges revolve around overwhelming data volumes, unruly unstructured content, and fast-moving compliance demands; from making sense of vast digital repositories to applying AI that delivers real results, all while staying ahead of complex privacy and regulatory requirements.

It’s clear that simply storing information isn’t enough. You need tools that actively help you understand and control your data, and fit intelligently within your existing technology landscape. The latest enhancements to InSight DXP aren’t just another feature list; they are a direct response to the challenges you’ve shared and are designed to deliver tangible value, not just technology for technology’s sake.

With this new release, our strategic bet is clear: Integrated platforms that combine intelligent understanding with robust governance are key to unlocking value and managing risk effectively.

Turning policy from a hurdle into an integrated safeguard

I’ve talked to enough data and information leaders to know that compliance is complex, and the last thing they need is another complicated tool requiring a major workflow overhaul.

This is precisely the concern we aimed to eliminate with the new integration of Policy Center directly into InSight DXP. We focused on making the systematic application of your organization’s retention policies an inherent part of your content’s lifecycle within the platform, instead of another silo or demanding complex manual configuration. The power lies in the integration—imagine rules being automatically applied based on document type or content analysis, significantly reducing risk and manual effort without disrupting your existing processes.

This integration is designed with flexibility in mind, but its real power lies in embedding governance directly into the foundation, not layering it on as an afterthought. In most organizations, defining and enforcing retention policies isn’t the job of a single department, as it requires collaboration across Legal, IT, and various business units. By integrating governance controls within the platform, we simplify that coordination and make it easier to activate built-in capabilities without the need for custom development. And when you're ready to define your retention schedules, our Information Governance team is here to help, offering access to and customization of pre-built retention libraries that accelerate your efforts. The result? Audit-ready compliance with peace of mind for ensuring all data is properly managed and tracked.

Using AI to find answers fast and eliminate manual reviews

Let’s talk about AI. You’re right to be skeptical of the hype, and we see it too. That’s why our approach with InSight DXP is not just about chasing buzzwords but delivering AI that solves tangible problems today. That’s why we’ve introduced task-specific AI agents (what the industry calls Agentic AI) to focus on solving everyday information challenges for your organization. Think of it as specialized AI agents focused on practical tasks:

  • Need to find every contract signed before a certain date mentioning a specific indemnity clause across thousands of documents?
  • Need to identify potential personally identifiable information (PII) hidden within scanned images, even across different departments or languages?
  • Need to quickly understand the key themes or risks summarized from a large batch of reports?

Instead of crafting complex searches or manually reviewing documents one by one, you can ask in plain English. These AI agents rapidly comprehend your documents, extract relevant information, answer complex questions naturally, and even help visualize patterns.

We’ve also enhanced our GenAI Chat features, improving usability and adding chat history. This makes interaction seamless and traceable, focusing on practical application and transparency, not just novelty. As I’ve seen in conversations with customers working on things like claims or pension processing, they used to struggle to get just a few pieces of data. Now, they’re realizing they can get everything they need much faster, making them more efficient and ready to integrate this understanding into their core workflows. This update goes beyond AI theory to help you truly automate tedious analysis that burns out your teams while still unlocking the value trapped in your unstructured data.

Simplify collaboration. Unify digital and physical data views.

Beyond the headline features, we know that everyday friction points matter. That’s why we’ve also rolled out enhanced content management capabilities. Better versioning means your teams can collaborate with confidence, knowing they’re always working on the right iteration. Broader support for image types and Microsoft documents removes roadblocks and keeps information flowing smoothly. These might seem like minor details, but they’re crucial for efficient teamwork.

We’re also taking the first steps towards bridging the digital and physical divide more seamlessly. For our customers in the United States, Canada, and Australia who store physical records with Iron Mountain, we’re introducing a single pane of glass view in Beta. This isn’t just a unified search; it allows you to manage metadata for both digital files and physical boxes, view inventory analytics, and even place file delivery orders with status tracking, all directly within the InSight DXP interface. It’s a foundational step toward true hybrid information management that tackles the core challenge of unified oversight first.

Additionally, to better serve our global customers, we’ve added Arabic platform translations, enabling growth and usability in the Middle East, North Africa, and Turkey (MENAT). And for organizations struggling with cluttered SharePoint sites, we’re introducing capabilities (initially available for SharePoint Online) to help identify and address redundant, obsolete, or trivial (ROT) content without having to move the files first, enhancing data awareness right where it lives.

From features to a foundation for the future

What excites me most is how these enhancements work together as part of a cohesive platform, designed to complement your existing systems. InSight DXP excels where unified governance, deep understanding of complex data, and bridging the digital/physical gap are paramount. Imagine using agentic AI to automatically identify sensitive data, then having the integrated Policy Center automatically apply the correct retention rules. That’s the intelligent, automated governance we’re building.

When I talk to customers, they tell me that having one piece of the puzzle isn’t enough. We need robust ingestion, categorization, audit trails, and the foundational security and compliance we’ve honed over decades. Bringing these together means we can help solve complex challenges much faster, often in days or weeks, instead of the months or years you might spend trying to stitch together disparate systems. This unified platform approach provides resilience and adaptability, allowing us to deliver capabilities globally while respecting data sovereignty and providing predictable pricing.

Our goal at Iron Mountain remains simple: solve your toughest information management and governance problems. The new capabilities within InSight DXP are born from listening to you and building the tools you need, not just for today, but as a foundation for the future. We are deeply invested in leading the way in digital transformation, leveraging our unique understanding of the entire information lifecycle.

We’re thrilled to be your partner on this journey, helping you move from information overload to intelligent, confident action.

Take care,
Adam
